Terms & Conditions
- “Company”
- means partyLAN.
- “Customer”
- means the person making the booking.
- “Event”
- means the gaming party or booking.
- “Equipment”
- means all consoles, controllers, games, monitors, TVs (where supplied), cables, accessories and other items provided by the Company.
- “Gaming Host”
- means the Company representative attending and operating the Equipment.
- A booking is confirmed once the required deposit or full payment has been received.
- The remaining balance must be paid on the day of the Event, before the Event starts, unless otherwise agreed in writing.
- Prices are subject to change until a booking has been confirmed.
The Company will:
- Deliver all booked Equipment to the agreed venue.
- Set up and test the Equipment.
- Provide one or more Gaming Hosts for the duration of the booking.
- Supervise and operate the Equipment during the Event.
- Assist players with game selection and basic gameplay.
- Remove all Equipment at the end of the booking.
All Equipment remains the property of the Company at all times.
The Customer agrees to:
- Provide sufficient indoor space for the Equipment.
- Ensure safe and unrestricted access for loading and unloading.
- Provide suitable electrical power outlets close to the gaming area.
- Ensure the venue is clean, dry and safe.
- Keep food and drinks away from the Equipment.
- Ensure a responsible adult (aged 18 or over) is present throughout the Event where participants are under 18 years of age.
- Ensure guests behave responsibly and follow instructions given by the Gaming Host.
Unless otherwise agreed in writing, the Customer is responsible for providing a stable and reliable internet connection where online gaming or internet-enabled services are required.
The Customer acknowledges that:
- Internet access must be available throughout the Event.
- Some games or features may require an internet connection.
- The Company is not responsible for poor Wi-Fi coverage, slow broadband speeds, network congestion or internet service outages at the venue.
- No refund or compensation will be given where gameplay is affected by the Customer’s internet connection.
- Where available, the Company may provide a mobile internet connection for an additional charge if arranged before the Event.
Although the Equipment is supervised by our Gaming Host, the Customer accepts responsibility for any deliberate, reckless or malicious damage caused by guests.
Charges may apply for:
- Deliberate damage.
- Missing Equipment or accessories.
- Damage caused by food or drink.
- Damage caused by pets.
- Damage caused by misuse or neglect.
Normal wear and tear is excluded.
The Gaming Host has the authority to:
- Stop unsafe behaviour.
- Remove Equipment from any participant misusing it.
- Refuse access to any participant behaving aggressively or abusively.
- End the Event immediately where there is violence, abuse, illegal activity, excessive intoxication or any situation that places our staff or Equipment at risk.
No refund will be payable if the Event is terminated for these reasons.
Our Gaming Hosts provide gaming entertainment only.
They are not childminders or babysitters and do not accept responsibility for supervising children.
Parents, guardians or the responsible adult remain responsible for the supervision, safety and behaviour of all children attending the Event.
Games supplied will be suitable for the age group agreed during booking.
Parents or guardians remain responsible for approving the suitability of game content for children attending the Event.
The Customer must ensure:
- Clear walkways around the gaming area.
- Safe electrical installations.
- Adequate lighting and ventilation.
- A safe working environment for our staff.
The Company reserves the right not to set up Equipment if the venue is considered unsafe.
If the Company is unable to begin at the agreed time because access to the venue is delayed by the Customer, the booking will still finish at the scheduled end time unless additional time is available and agreed.
- More than 7 days before the Event — full refund of payments made.
- Less than 7 days before the Event — no refund.
If the Company cancels due to circumstances beyond its reasonable control, the Customer will be offered an alternative date or a full refund.
The Company shall not be liable for any delay, interruption or cancellation caused by events beyond its reasonable control, including severe weather, power failures, internet outages, illness, accidents, road closures, natural disasters or government restrictions.
Photographs or videos will only be taken with the Customer’s consent.
Where consent has been given, images may be used for marketing and promotional purposes.
The Company maintains appropriate public liability insurance.
The Company shall not be liable for:
- Loss caused by venue power failures or internet outages.
- Injury resulting from unsafe conditions at the venue.
- Loss or damage to guests’ personal belongings.
- Loss of game progress, online accounts or digital content.
- Indirect or consequential losses.
Nothing in these Terms and Conditions excludes or limits liability where such liability cannot legally be excluded or limited.
The Company reserves the right to refuse or terminate a booking if:
- The venue is unsafe.
- Staff are threatened or abused.
- Illegal activities are taking place.
- The Customer breaches these Terms and Conditions.
- Continuing the Event would place staff or Equipment at unreasonable risk.
All Equipment supplied remains the exclusive property of the Company.
Customers and guests must not:
- Open or dismantle any Equipment.
- Move Equipment without permission.
- Disconnect cables unless instructed.
- Install software or connect unauthorised devices.
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
By paying the booking deposit, paying the balance, signing the booking form, or allowing the Company to commence setup, the Customer confirms that they have read, understood and accepted these Terms and Conditions.
